What is the proof of enrolment?
A proof of enrolment is an official document issued by a university to confirm that a person is enrolled as a student at that university.
Contents of a proof of enrolment
A typical proof of enrolment contains:
- Personal details: The student's name, date of birth and often matriculation number.
- University details: Name and address of the university or college.
- Study information: Course of study, number of semesters, possibly standard period of study and degree objective (e.g. Bachelor's, Master's).
- Period of validity: The semester or academic year for which the certificate is issued.
- Stamp and signature (for physical copies) or a digital verification code.
Purpose of a proof of enrolment
Study certificates are often required for the following purposes:
- Proof for authorities: For example, when applying for BAföG, child benefit or a visa.
- Employers: For part-time jobs or internships to prove student status.
- Benefits: For example, for semester tickets, insurance or discounts at events.
Students can usually download this certificate from their university's online portal or request it from the Student Administration Office.
Where do I get my proof of enrolment?
Students in Germany usually receive their proof of enrolment via their university's campus management system. This certificate is often required for various purposes, e.g. for health insurance, BAföG applications, jobs or the Bahncard.
The exact steps for obtaining a proof of enrolment are usually as follows:
- Logging into the campus management system:
- Many universities use systems such as HISinOne, CampusOnline or similar platforms.
- After successfully logging in, the proof of enrolment can often be found under the menu item “Certificate”, “Proof of enrolment” or a similar term.
- Download proof of enrolment: The certificate is usually available there as a PDF and can be downloaded and printed out.
- Sending by post (optional): Some universities also send the certificate by post, especially at the beginning of the semester or for first semester students.
When will I receive my proof of enrolment?
Most universities issue the proof of enrolment for the coming semester around four to six weeks before the start of the semester, provided that re-registration (i.e. payment of the semester fee) has been completed. The exact time may vary depending on the university and also depends on whether the payment was posted on time.
Here is a general procedure as it works at many German universities:
- Re-registration: Students usually have to re-register a few weeks before the semester starts, often in July/August for the winter semester and January/February for the summer semester.
- Booking the payment: As soon as the semester fee has been received and booked, the certificate of enrollment is often provided automatically.
- Provision of the certificate: After successful re-registration, the certificate is often released for download via the university portal.
If there are time constraints, you can ask the Student Administration Office or request a provisional certificate.
